Advertised Summary Job Description:

Reporting to the Associate Director, the incumbent is primarily responsible for implementing and overseeing the day-to-day operational details of the Weatherhead East Asian Institute's annual workplan and programming schedules. The position entails program development,
public relations and outreach, budget and grant management, supervision of Institute personnel, and event planning.

Duties include the following: Supervise and manage the staffing schedule of four Program Officers and three Administrative Assistants, including HR administration at the appropriate level, such as recruitment, hiring, staff mentoring and daily supervision and review of work tasks. Coordinate the work of assigned work-study students and interns as necessary. Participate in the Institute's annual strategic planning and budgeting process and assist the
Associate Director in the implementation, supervision and monitoring of the Institute's annual budget, as well as monitoring of monthly expenditures at the project level. Attend and help prepare the agendas for Executive Committee, Advisory Board, and staff/faculty meetings. Work with the Associate Director to prepare narrative reports, as well as financial reports and budgets to funders, and day-to-day correspondence with foundation officers, donors and other key external contacts. Oversee the maintenance and purchase of furniture, equipment and facilities, and assist with space planning to meet operational needs.
Ensure the proper assignment and logging of the inventory, and oversee renovations and improvements of the Institute facilities and working environment. Assist the Associate Director and the Director in developing and implementing the Institute's strategic 2-year and 5-year plans. Work with the Associate Director, staff and faculty in developing new programs and in launching new projects in line with the Institute's core objectives. Oversee and further develop existing research, educational and outreach programs, and conduct
annual quality reviews, making recommendations for improvements and/or changes to ensure that they meet the needs of the Institute's core student, faculty, and external constituencies. Coordinate events and programs to support the Institute's fundraising efforts, and represent the Institute at external events as well as at University level meetings in the absence of the Director and Associate Director. Perform other duties as assigned.

Minimum Qualifications for Grade:

Applicant MUST meet these minimum qualifications to be considered an applicant. Bachelor's degree or equivalent and at least 3 years' related experience required. Excellent writing, interpersonal and organizational skills, high level of initiative, and the ability to work
independently required. Knowledge of Microsoft Office required. Preferred Qualifications: Advanced degree desirable. Supervisory experience and experience in East Asian studies and/or teaching environment preferred.
